Export to Excel or CSV
For a quick review of billed and paid amounts, start with Key Fields (Excel). For a service-line audit, choose All Fields; Claim Repeats so each line carries its claim information when you sort or filter. To total charges by claim, choose Claims/Lines in Separate Sheets and use the claims sheet.
Choose what to export
-
A set of claims. Open Claim List under Remittances (835) for adjudicated claims or Claims (837) for submitted claims. Search or filter the list, check the resulting count, then select Export. The export uses the matching records across pages. If prompted to choose a claim type, select the type you want in this export.
-
One claim. Open its details and select Export there. You can also choose JSON or, for a submitted professional or institutional claim, its CMS-1500 or UB-04 PDF form.
-
A check or EFT. Open Remittances (835) → Remittance List and select Export. One remittance can pay several claims. Use this view for payment totals and provider-level adjustments.
-
EDI files directly. Use Convert Files when you just need CSV or Excel files. It handles 837 claims, 835 remittances, and 834 benefit enrollment files. Direct conversion is faster because it skips saving claims and remittances to the database. If you want to search your claims or run analytics on them later, upload the files through EDI Files instead.
For an 835, converting to CSV produces both the adjudicated claims CSV and the remittances CSV in one run. This saves you two separate exports, one from Claim List and one from Remittance List. In the claims output, claim fields repeat on each service-line row. You can also combine files of the same type into one output.
Read the rows and columns
All Fields exports the full set of columns defined for that record type and layout, including fields beyond those visible in the list. Key Fields uses a shorter selection. The same layout has the same columns across files. A blank cell can mean that the sender omitted an optional value, that the field does not apply, or that the claim value appears on the first service-line row. A blank paid amount and a paid amount of zero mean different things.
For example, suppose a claim has two services and a total charge of $150. Here is how the two All Fields layouts show the same claim:
| Claim ID | Service | Line charge | Claim charge in All Fields | Claim charge in Claim Repeats |
|---|---|---|---|---|
| A100 | 99213 | $100 | $150 | $150 |
| A100 | 85025 | $50 | $150 |
Both rows belong to one claim. In All Fields, identifiers carry forward so you can connect the second line to its claim. In Claim Repeats, sorting by procedure keeps the claim information with each line. Adding the repeated claim charges would produce $300 for a $150 claim. Sum line charges for a service-line total, or use the separate claims sheet for claim totals. In a workbook with separate sheets, match each service line to its claim using the Id column.
Some repeating information appears in numbered columns instead of extra rows. For example, a diagnosis list may have columns for diagnosis 1, 2, and 3. Unused slots stay blank. A layout with three slots can show only three entries even if the source has more. Check the claim details for the complete record. Use Columns Help in the export menu to look up the meaning of a column in the CSV Data Dictionary.
Claim List and claim details quick reference
CSV contains one table. Excel can hold multiple tables on separate worksheets. Each menu choice selects a predefined layout (a conversion schema). The schema names below correspond to the EDI-to-CSV Conversion Guide.
| Export menu item | What you get | Schema | Sample |
|---|---|---|---|
| Key Fields (CSV) or Key Fields (Excel) | Common claim and service-line fields, such as charges and procedure codes. Claim fields appear on the first line. Available for 835, 837P, and 837I. | key-fields |
